We are currently seeking an Office Administrator to join our team. The Office Administrator is detail-oriented, professional, self-motivated, personable, articulate, and a team player.

    Greet and direct visitors, clients, and callers

    Handle mail, email, voicemail, and incoming/outgoing packages

  • 40x40x1

    Coordination of printing, binding, and delivery of project documents

  • 40x40x1

    Keep premises orderly; keep coffee bar, food and beverage coolers stocked

  • Stock office supplies, snacks, and drinks and place orders when necessary. Monitor monthly expenditures for these items to stay within the monthly budget allocation

  • Coordinating and managing appointments, meetings, lunches, and the conference room schedule. Coordinating and preparing for office events

  • Scheduling office lunch and learns

  • Overseeing the maintenance of office facilities and equipment

  • Provide administrative support for the leadership team as needed

  • Assist colleagues whenever necessary

  • Other duties as assigned

    3+ years of relevant office administration experience, preference is given to those with experience in an architecture, engineering, or construction office setting

    Excellent verbal and written communication skills

    Excellent organizational skills and attention to detail. Considerate and thinks ahead

    Collaborates with direct supervisor to prioritize tasks and to delegate them when appropriate

  • Ability to function well in a fast-paced environment 

  • Excellent time management and prioritization skills, with a proven ability to meet deadlines and multi-task as needed

  • Proficient computer software skills including but not limited to: internet, spreadsheets, word processing, e-mail, and pdf creation; Google application experience is strongly preferred

    Ability to operate a multi-line phone system and office equipment such as computers, fax and copy machines
